Follow up with a reason to talk.
The useful next step depends on what is unresolved. Use proposal activity as context, then focus the conversation on a question, decision or agreed action.
Create freeRead the context before the signal
Start with the agreement
Use the review date or next step you discussed with the client. If you never agreed one, make the next message easy to answer.
Look for a real question
A comment or change request is more useful than guessing what a view means. Check the actual feedback before preparing your reply.
Keep activity in perspective
Views, reading activity and email opens do not prove buying intent. Privacy tools and automated scanning can also affect email signals.
Match the next action to the situation
| What you see | First action | Purpose of the conversation |
|---|---|---|
| The proposal is still a draft | Finish the offer and check its client preview. | Confirm the scope, price and next step before sharing. |
| Shared, with no recorded view | Check the recipient, delivery context and agreed review date. | Ask whether the client has what they need to review it. A missing view is not proof of disinterest. |
| Viewed, with no response | Read the surrounding conversation and any feedback. | Ask one specific question about a decision or unresolved detail. |
| A comment or change request | Answer the question or prepare a revision. | Explain what changed and identify the remaining decision. |
| The proposal is accepted | Confirm the handover and project start conditions. | Agree the next operational step. Review the deal stage separately. |
| The proposal is declined | Record the outcome and close the loop. | Ask for feedback when appropriate, then respect the client’s decision. |
A message the client can answer
Subject: Northline proposal — phase-one scope
Hi Maya,
Following up on the proposal we discussed. Before we finalise the scope, could you confirm who gives final approval on phase one and whether the listed deliverables cover what you need?
The current proposal includes phase one. Later phases remain outside the scope until we agree them separately. Here is the proposal link again: [your proposal link].
If it is easier to discuss, we can arrange a short call. Once that detail is clear, I can update the scope and confirm the next step.
Thanks,
Alex
This message refers to an existing conversation and asks for one concrete decision. Check the recipient, current proposal version and exclusions before using it.

Keep the next action with the proposal

Before you send
- Is this the right person and the current proposal link?
- Does the message refer to the conversation you actually had?
- Can the client answer the question without doing a lot of extra work?
- Are you following the agreed timing and respecting any request to stop?
- Does the proposal still contain the scope, pricing and version you intend to offer?
Propovo’s suggested actions help organise the work. You decide the message and next step. Sending through a connected account remains subject to the email provider’s permissions and limits.
Give every proposal a clear next step.
Prepare the offer, share it from your connected inbox and keep the next action with the deal.
